Market condition adjustments

How much to shift your bid floor when markets are slow or hot. Set based on how your lanes actually behave.

Current market slow — ease floor by%
Current market hot — raise floor by%
Destination slow — add cushion of%
Destination hot — ease floor by%
Truck capacity & load premiums

Set your truck's limits. Loads above 50% of capacity get a bid premium that scales toward your max premium at full load.

HotShot Tracker Help
First things first — set up Settings
Before evaluating any load, go to the Settings tab and enter your real numbers: fuel price, your truck's MPG, and your operating cost per mile. The app's decisions are only as good as the numbers you give it.
💡 The single most important step: update your fuel price to match what you're paying at the pump right now.
Installing on your phone (recommended)
iPhone (Safari only):
1
Tap the Share button at the bottom of Safari (box with arrow pointing up)
2
Scroll down and tap Add to Home Screen
3
Tap Add in the top right
Android (Chrome):
1
Tap the three-dot menu in Chrome
2
Tap Add to Home Screen or Install App
Once installed, the app opens full-screen with no browser bar — just like a native app.
I Have a Rate — quick go/no-go
Use this when a broker gives you a number and you need to decide fast. Enter the rate, empty miles (deadhead to pickup), and loaded miles, then tap Get Decision.
The verdict
Take itHits all 3 of your targets — rate/mile, profit margin, and deadhead. Accept with confidence.
NegotiateMisses one target. The app tells you which one and suggests a counter rate.
PassMisses two or more targets. Not worth it at these terms.
The load score
A 0–100 score that combines all three targets into one number. 65+ is a strong load, 40–64 is marginal, below 40 is a pass.
Accepting a load
Tap Accept to save the load and automatically log your estimated fuel cost as a linked expense. Tap Pass or Try different numbers to go back without saving.
Help Me Bid — no rate yet
Use this when a broker asks "what's your rate?" Enter your miles and set the market conditions for where you are now and where you're dropping. The app gives you an opening ask and a walk-away floor.
Set market to Hot if loads outnumber trucks — you have leverage, ask higher
Set market to Slow if trucks outnumber loads — your floor adjusts down
You can change market toggles after seeing a result and numbers update instantly
💡 Tap Use This Rate after the bid to send the suggested rate straight into the rate decision screen.
Load details — capacity & premiums
Expand "Load details — weight & pallets" to enter cargo weight, pallet count, and cubic footage. If the load exceeds your truck's capacity limits, a red warning appears. Loads above 50% of capacity automatically earn a higher bid.
Every load you accept appears here. Switch between Active (in-progress loads) and All Loads (everything including completed).
Load card
Tap any load to expand it. You'll see the RPM, margin, and deadhead at acceptance, all linked expenses, and the net profit after those expenses.
Marking complete
Once delivered and settled, tap Mark as complete inside the load card. The load moves off Active but stays in All Loads and continues counting in your P&L.
💡 The net profit shown on each load card only reflects expenses you've linked to that specific load.
Scanning a receipt
1
Tap Scan Receipt and take a photo of the receipt
2
AI reads vendor, amount, date, and category automatically
3
Review and correct anything it got wrong
4
Optionally link it to a specific load, then tap Save Expense
💡 AI scanning works best on clear, well-lit photos. If it can't read the receipt it will tell you — just fill in the fields manually.

Linking to a load
Use the load dropdown when saving to link an expense to a specific run. Linked expenses show up in that load's card and in the per-load P&L breakdown. This is how you see each run's true net profit.
Your financial dashboard. Switch time periods at the top: Week (rolling 7 days), Month (current calendar month), YTD, or All.
Goals vs actuals
Two progress bars track your weekly revenue goal and monthly net profit goal. These always use the current week and current month, regardless of which period filter is selected.
Key metrics
Revenue per loaded mile — your average RPM across all loads in the period
Avg profit margin — after fuel and operating costs
Cost per total mile — total expenses ÷ total miles, a key efficiency number
Per-load breakdown
Below the metrics, each load in the period shows gross rate, linked expenses, and load net profit — so you can see which runs actually made money.
Year-end tax report
Select a tax year and download a PDF (print-ready Schedule C summary) or CSV (spreadsheet for your accountant). The PDF includes Schedule C line numbers for every expense category, mileage summary, and a full load and expense detail table.
⚠️ The tax report is a preparation tool, not tax advice. Always review with a qualified tax preparer before filing.
Profit targets
Min rate per loaded mile — the minimum $/mile you'll accept
Min profit margin — minimum % of the gross rate you keep after costs
Max deadhead ratio — maximum empty miles as % of total miles
Truck & operating costs
Fuel price — update this to match current pump prices
MPG — your truck's real-world fuel economy
Operating cost/mile — tires, oil, insurance, depreciation (typical range $0.55–$0.85)
Market condition adjustments
Controls how much the bid calculator shifts your floor when you select a Slow or Hot market. The defaults (5/3/5/2%) work for most lanes but you can tune them to match how your routes actually behave.
Truck capacity & load premiums
Enter your truck's physical limits. Loads that exceed them show a red warning in the bid calculator. Loads between 50–100% of capacity earn a bid premium that scales up to your max premium %. Leave cubic feet at 0 if you don't track volume.
Cost calculation
Fuel cost = (Total miles ÷ MPG) × Fuel price/gal
Operating cost = Total miles × Operating cost/mile
Net profit = Rate − Fuel cost − Operating cost
Profit margin = (Net profit ÷ Rate) × 100
Example: $1,500 rate · 350 total miles · $3.85 fuel · 10 MPG · $0.65/mi
Fuel = $134.75 · Operating = $227.50 · Net = $1,137.75 · Margin = 75.9%
Bid floor calculation
1
Base floor = higher of (min RPM × loaded miles) OR (costs ÷ (1 − margin target))
2
Load premium applied — scales from 0% at 50% capacity to your max % at 100% capacity
3
Market multiplier applied — current and destination conditions shift the floor
4
Suggested bid = floor × 1.12 (12% negotiation cushion above floor)
